Preparations for all our electrical services

You must have the following documents ready for our inspector’s visit:
- The signed document detailing external influences
- The electrical circuit diagrams
- Site plans showing the grounding connections
- Site plans
- The technical documentation for the charging station
- If applicable, supplemented by:
- Plan of the underground conduits
- Calculation reports regarding protection against indirect contact, overcurrent, and short-circuit currents
- Note: The diagrams, plans, and documents must clearly indicate the number, version, and date of the version.
You must already make the following preparations:
- You must be able to identify the location of the grounding test terminal. This test terminal must also be easily and safely accessible.
- The electrical panels must be easily and safely accessible.
- Ensure an authorized person is on site to grant us access to the installation

You must have the following documents ready for our inspector’s visit:
- A site plan showing the location of the panels, the inverter(s), and the electrical panel.
- The string configuration of the panels
- If the panels are not visible (e.g., flat roof) => a photo of the panels
- The EAN number
- A single-line diagram of the solar panel circuits.
- The capacity of the solar panels, which is the number of units multiplied by the unit capacity in kWp*.
- The type of inverters*.
- The serial numbers of the inverters*.
- The power output of the inverters (AC max.)*
During the inspection, a shutdown test of the safety system must also be performed. This can only be done when the inverter is actually generating electricity. For this, the following conditions must be met:
- grid voltage is present;
- there is sufficient daylight.
* This information cannot always be determined after installation. It is therefore best to note it down in advance!

- During the inspection, the installation will be de-energized for a few minutes to allow us to perform insulation measurements.
- Please ensure that computers and machines will need to be turned off
- The electrical panels must be easily and safely accessible
- As many outlets as possible should be available
- Please have an authorized person on site who can grant us access to the electrical system

You must provide the following documents:
- Description of the processes
- Characteristics of the flammable gaseous substances, specifically the concentration, relative density, minimum ignition temperature, vapor pressure, explosion limits, and flash point
- Characteristics of combustible substances in the form of dust, specifically the particle size distribution and their concentration in the air, the humidity level, the autoignition temperature, the minimum ignition temperature, the minimum ignition energy, and the explosion limits
- The location and characteristics (flow rate, frequency, and duration of the emission) of the emission sources and the quantity of flammable substance discharged
- If possible, plans of the facility to be zoned (DWG)
- If possible, a general site plan of the facility on which the zoning locations can be indicated (dwg, pdf)
- Any zoning plans and requirements already specified by the machine manufacturer (DWG, PDF)
- The characteristics of natural and/or mechanical ventilation, as well as the air movement that may result in the formation of dust clouds
- In the event of artificial ventilation, the operational reliability of this system must be known

Practical preparations you need to make:
- During the inspection, the system will be de-energized for a few minutes to allow us to perform insulation measurements. Please ensure that computers and machines are turned off
- The floors in the medical areas must be clean and dry at the start of the inspection to ensure accurate measurements
- You must be able to identify the equipotential bonding strip(s). These must be safely accessible

Preparations for Commissioning
To ensure that the inspection proceeds safely and smoothly, the following points must be observed:- The equipment must be ready for use. It must be fully set up and/or assembled. The necessary attachments must be available and must be installed alternately.
- The equipment must be cleared of mud, sand, dust, etc., to allow for the most thorough visual inspection possible.
- An operator with sufficient knowledge of the equipment must be present. The operator must also have a sufficient command of the local language (Dutch/French) to ensure effective communication with the inspecting officer.
- The device must be set up safely. Safe access to the device, a safe environment around the device, and sufficient maneuvering space must be ensured.
- The necessary documents must be available (and in the user’s language):
○ EC Declaration of Conformity in accordance with the Machinery Directive, issued by the manufacturer
○ User manual, describing the operation of the safety devices installed and their adjustment
○ Load charts (if applicable)
- The necessary test weights must be available to check the stability of the equipment and to adjust the load limiter and/or load moment limiter.
○ Stability test: maximum rated load + 25%
○ Adjustment of load (moment) limiter: maximum rated load + 10% (or other overload percentage specified by the manufacturer).
The test weights must be provided by the customer or the installer/manufacturer. The test weights must be safe for use. It must be possible to perform all operations on the lifting equipment.

Commissioning
To ensure that the inspection proceeds safely and smoothly, the following points must be observed:- The equipment must be ready for use. It must be fully set up and/or assembled. The necessary attachments must be available and must be installed as required.
- The equipment must be sufficiently clean. It must be cleared of mud, sand, dust, etc., to allow for the most thorough visual inspection possible.
- An operator with sufficient knowledge of the equipment must be present. The operator must also have sufficient command of the local language (Dutch/French) to ensure effective communication with the visiting inspector.
- The device must be set up safely. Safe access to the device, a safe environment around the device, and sufficient maneuvering space must be ensured.
○ The necessary documents must be available (and in the user’s language):
○ EC Declaration of Conformity in accordance with the Machinery Directive, issued by the manufacturer
○ Operator’s manual, describing the operation of the safety devices installed and their adjustment
○ Load charts (if applicable)
- The necessary test weights must be available to check the stability of the equipment and to adjust the load limiter and/or load moment limiter.
○ Stability test: maximum rated load + 25%
○ Load (moment) limiter adjustment: maximum rated load + 10% (or other overload percentage specified by the manufacturer).
The test weights must be provided by the customer or the installer/manufacturer. The test weights must be safe for use. It must be possible to perform all operations on the lifting device.
Periodic Inspection
To ensure that the inspection proceeds safely and smoothly, the following points must be observed:- The equipment must be ready for use. It must be fully set up and/or assembled. The necessary attachments must be present and must be installed alternately.
- The equipment must be sufficiently clean. It must be cleared of mud, sand, dust, etc., to allow for the best possible visual inspection.
- An operator with sufficient knowledge of the equipment must be present. He must also have a sufficient command of the local language (Dutch/French) to ensure effective communication with the visiting officer.
- The equipment must be set up safely. Safe access to the equipment, a safe environment around it, and sufficient maneuvering space must be ensured.
- The equipment must be free of loads: e.g., no suspended load on an overhead crane, no vehicle on a car lift, etc.
- The necessary test weights must be available for the annual inspection of the load limiter and/or load moment limiter. The test weight must equal the maximum rated load plus 10% (or another overload percentage specified by the manufacturer). The test weights must be provided by the customer or the installer/manufacturer. The test weights must be safe for use. It must be possible to perform all operations on the hoisting equipment.
- In the case of lifting accessories (lifting chains, lifting slings, links, etc.), these must be gathered in a single location.
- The necessary documents must be available:
○ User manual
○ Load charts (if applicable)
○ In the case of an initial inspection by Normec BTV: the previous inspection report

What preparations do I need to make?
- The systems and equipment to be inspected must be easily and safely accessible.
- The equipment must be complete and connected (i.e., the gas cylinders must be sufficiently filled and connected).

What preparations should I make?
- Ensure that the installation is accessible and have the floor plans, the manufacturer’s manual, the maintenance log, and previous reports on hand.
- Ensure that the detectors’ calibration certificates are available and that the control mechanisms can be tested.
- Finally, ensure that a qualified person is present to assist the inspector.

You must have the following documents ready for our inspector’s visit
- If the gas meter is sealed: the EAN number for the natural gas supply point assigned by the network operator.
- If the gas meter is sealed: the Elgacert certificate displayed on a computer screen, smartphone, or as a printout. The Elgacert certificate must be complete and correctly filled out by the installer or DIYer.
- You can prepare the isometric diagram of the new natural gas installation (or parts thereof) in advance.
- Manuals for the natural gas appliances and accessories.
- Any previous inspection reports.
- Any calculations and a statement indicating the installation date and the date the equipment was set up.
You must complete these preparations in advance
- During the inspection, the natural gas system will be shut down to allow us to perform measurements.
- The natural gas system must be easily and safely accessible.
- All rooms, as well as private and common basements in apartment buildings, that are connected to the natural gas system must be easily and safely accessible.
- At least one natural gas appliance must be installed.
- Pending the connection of an appliance, every pipe or valve must be securely sealed with a metal screw-on plug or cap, even if the gas meter valve is sealed in the closed position.
- New (parts of) installations: To facilitate the leak test, a T-fitting, sealed with a plug, must be provided downstream and in the vicinity of: the gas meter; the connection between the new and existing parts of an installation; the isolation valve.
- An authorized person must be present on site to grant us access and to sign off on the work order and certificates.

What preparations do you need to make?
- Make sure the entire propane or butane system is easily accessible.
- Ensure unobstructed access to the gas storage, pressure regulator, pipes, shut-off valves, and connected appliances.
- If available, also have previous inspection reports, technical documentation, and maintenance certificates on hand.
This will allow our inspector to assess the system efficiently and thoroughly.

- Ensure that technical rooms, shut-off valves, alarms, and the relevant outlet points of the medical gas system are accessible.
- Have up-to-date schematics, as-built drawings, and previous inspection or maintenance reports ready. In the case of expansions or modifications, it is important to clearly identify which parts of the system have been modified.
- Additionally, coordinate in advance which parts of the installation need to be accessible or temporarily shut down during the inspection.

What preparations do you need to make?
- Access to all relevant areas
Ensure safe access to bleachers, stairwells, underground areas, technical zones, rooftops, and hard-to-reach areas.
- Previous inspection reports and follow-up documents
Have previous reports ready, especially if there are recurring comments or violations.
- Proof of repairs performed
Gather documentation of concrete repairs, renovations, structural stabilization work, roofing work, and repairs to stairs, handrails, benches, gates, or evacuation routes.
- An on-site contact person
Ensure that someone is present who can accompany the inspector and open technical rooms. -
Tips for preparing for the inspection of playground equipment and playgrounds:
- Maintain a logbook for the playground equipment;
- Conduct a risk assessment of the playground equipment and/or playgrounds (if the playground equipment is manufactured in accordance with the EN 1176 standard, a risk assessment of the equipment itself is not required; only the playground area needs to be assessed).
- An HIC measurement is performed only upon specific request. Without such a request, it is not part of the inspection.
Preparations for all our fire safety services

For the operator
- Ensure access to all rooms monitored by a fire detection system.
- Inform residents that the tests may trigger the evacuation sirens and other control systems.
- Ensure the presence of a supervisor with technical knowledge.
- Consult the on-site safety regulations and verify the presence of equipment that may be activated by the fire detection system (e.g., fire suppression system).
For the installer
- Prepare the installation as if it were in use; remove the protective covers from all detectors.
- Ensure the presence of a technician who is familiar with all phases of the project.
If the inspection is based on the old standard, the following documents must be provided for review:
- Information on the number of detectors, sirens, and manual call points
- Layout plan of the detectors
- Maintenance log
- Simple operating instructions
- Instructions in case of fire
- Wiring diagram
If an inspection is conducted according to the new standard, at least the following documents must be provided for review:
- Plan of the fire compartments
- Results of the risk analysis and supervision level
- Layout plans for the equipment
- Type of flammability
- Wiring diagrams for the components
- Operating and maintenance instructions
- Plan of the alarm and detection zones
- Guidelines in case of fire
- Layout plans and cable lists Maintenance logbook

The preparations that must be made depend on which legal text(s) and/or standard(s) require a conformity assessment.
Under certain laws and standards, illuminance measurements must also be performed. These measurements can only be carried out when normal artificial lighting and daylight do not interfere. In practice, this means that these measurements are taken after sunset (or before sunrise) and outside of the company’s business hours.
When arranging a conformity inspection, we strongly recommend that you contact our inspector in advance so that you can make the necessary preparations.
Please have the following information on hand when you contact our inspector:
- Standard(s) and/or legal text(s) with which the safety and/or emergency lighting must comply.
- Scope of the installation (approximate number of safety and/or emergency lighting fixtures; size of the building).
You must already have made the following preparations:
- The distribution panels must be accessible.
- It must be known to which circuit breakers in the electrical distribution panel the safety and/or emergency lighting fixtures are connected. (A single-line diagram or list of designations must be provided to us.)
- All rooms and areas where safety and/or emergency lighting fixtures are located must be accessible.
- Be aware that during the inspection, the circuit breakers in the electrical distribution panel to which the safety and/or emergency lighting fixtures are connected will be de-energized. (*Depending on the applicable standard or legal requirement, other lighting circuits may also need to be turned off)
- The safety and/or emergency lighting fixtures must have been energized for at least 24 hours prior to the start of the inspection. If this is not the case, there is a high probability that the fixtures will fail the autonomy test.

- Ensure that the main valves are open and accessible
- Keep the system at normal pressure before the test

- Provide a drain point for water discharge
- Inform staff about the planned test
- Have a technical supervisor present to assist our inspector
- Notify internal safety or external services if necessary
5. Final visual inspection
- Are the spray nozzles free of paint or obstructions?
- Are the valves properly labeled?
- Are the alarm and communication systems working properly?

As the owner, you must provide the following items
- The architectural plans of the building.
- The number of occupants and employees (including an indication of individuals with limited mobility).
- A list of staff with specific qualifications, such as BA4, BA5, first aid responder, and safety advisor.
- A list of external factors in accordance with AREI Article 19.
- A list of firefighting equipment.
- Previous inspection reports for installations and safety equipment that are part of the safety file.
- The results of evacuation drills.
- Internal emergency plans or the response dossier.
- Any information that may be relevant during the fire risk analysis.
Pressure Equipment

You must make the following preparations before our inspector’s visit
- The suction and return lines must be completely sealed off during testing (the presence of shut-off valves is recommended).
- The manhole cover, as well as the fill and vent lines, must be easily accessible.
- The manhole cover must be dry and clean.
- All seals (manhole cover, pipes, shut-off valves, etc.) must be inspected by the operator in advance and, if in doubt, preferably replaced.
- A 2″ threaded gas connection located directly above the tank and easily accessible must be opened to insert the probes and connect the vacuum line (this is normally the fill plug).
- A zone where open flames, welding, and smoking are prohibited must be established around the work area (to prevent the escape of vapors—explosion hazard).
- It is also necessary to suspend all traffic, groundwork, excavation, and activities that cause significant vibrations in the vicinity of the tanks until the ultrasonic inspection is complete.
- A power outlet with a 220 V/16 A supply must be provided within approximately 20 m of the manhole cover (an extension cord is also permitted).
- Assistance must be provided during the testing procedures (once the tank has been approved, it may be returned to service by the person who provided the assistance).
- Identification (serial number), capacity, and product type must be indicated on the tank or in its immediate vicinity.
- The tank should preferably be filled between 30% and 75% (maximum liquid level of 2 m). If applicable, it is recommended to disconnect the level gauge as well or, at the very least, check it for leaks.
